How to switch from Tally to VyapaarSaathi without losing your mind

Tally has run Indian businesses for decades, and there's a good reason it's everywhere. But if you've landed here, you've probably hit its edges: it lives on one desktop, it doesn't really do HRMS or manufacturing, and getting a clean report often means paying someone to format it. Switching systems feels risky — these are your books. So let's make it boring and safe instead.

This guide lays out a calm, reversible migration you can do over a weekend or two, while keeping Tally running in parallel until you trust the new system completely.

Before you start: what to keep, what to leave

You don't migrate history line-by-line. You migrate masters and opening balances, and you leave closed history in Tally for reference. Specifically, plan to bring across:

  • Your customer and supplier list, with GSTIN and contact details
  • Your product list, with HSN codes and price tiers
  • Opening stock quantities per product
  • Outstanding receivables and payables (open invoices and bills)
  • Opening ledger balances as of your cut-over date

Pick a clean cut-over date — the first of a month is ideal, and the start of a quarter is even better for GST.

Step 1 — Export your masters from Tally

From Tally, export your ledgers (customers and suppliers), stock items, and outstanding statements to Excel. You'll tidy these into simple CSV files: one for customers, one for products, one for opening balances. Don't worry about perfection here — you'll validate everything after import.

Step 2 — Set up your VyapaarSaathi business

Create your free account, then add your business profile: name, address, GSTIN, logo, home state and invoice numbering. This takes ten minutes and ensures every invoice computes CGST/SGST/IGST correctly from the first one.

Step 3 — Import customers, products and balances

Use the bulk CSV importers to bring in your customers, products (with HSN and opening stock) and opening balances. The importer flags duplicates and formatting issues so you can fix them before anything is committed. When it's done, spot-check ten customers and ten products against Tally.

Keep your cut-over date consistent everywhere. Opening balances should reflect the position at the close of business on the day before you go live.

Step 4 — Run in parallel for one cycle

For the first month, record live transactions in VyapaarSaathi while keeping Tally going as your safety net. At month-end, compare: total sales, GST payable, outstanding receivables, and closing stock. When the numbers tie out — and they will, once your opening balances are right — you can let Tally go.

Step 5 — Bring your CA along

Your accountant's comfort matters. Two things help: VyapaarSaathi exports to Excel and Tally-compatible formats, so your CA can keep working the way they like; and the GST reports are generated for them, not by them. Show them the parallel-run reconciliation — most CAs relax quickly once they see the numbers match.

Step 6 — Switch on what Tally never did

This is the upside. Once your core books are live, turn on the modules Tally couldn't give you: multi-staff with role-based permissions, the customer portal, payroll with full statutory compliance, the export toolkit, and — if you manufacture — multi-level BOM. This is usually the moment people realise they weren't just replacing Tally; they were replacing Tally, Excel, a payroll vendor and a stack of WhatsApp groups.

A realistic timeline

  • Day 1: account, business profile, export masters from Tally
  • Day 2: import customers, products, opening balances; validate
  • Weeks 1–4: run in parallel, reconcile at month-end
  • Month 2: retire Tally; switch on staff, payroll and other modules

The bottom line

Switching off Tally doesn't have to be a leap of faith. Migrate masters and balances, run in parallel for one clean cycle, reconcile, and only then commit. Do it that way and the risk is close to zero — and on the other side is a single system that finally shows you cash, stock, people and production in one place.
